Artificial Intelligence Use Policy

Policies on responsible, transparent, and ethical AI use in scholarly publishing.

Juru Rawat. Jurnal Update Keperawatan has established a policy governing the use of Artificial Intelligence (AI) to ensure transparency, accountability, confidentiality, integrity, and human responsibility in article writing, editorial processes, and peer review.

This policy applies to authors, the Editorial Team, and Peer Reviewers, and takes into account the principles of authorship, human responsibility, and the use of AI tools as outlined in the COPE Position Statement: Authorship and AI Tools ↗.

1. Use of AI by Authors

  1. Authors may use AI tools to assist in preparing articles, provided that such use is responsible, transparent, and remains under the supervision and responsibility of the authors.
  2. AI tools, including generative AI, large language models (LLMs), chatbots, and similar applications, must not be listed as authors or co-authors because responsibility and accountability for scholarly work remain with human authors.
  3. The use of AI in article preparation must be disclosed transparently. If AI is used, authors must identify the name and/or version of the tool used and explain its purpose.
  4. AI must not be used to replace scientific judgment, intellectual contributions, or the responsibilities of the authors.
  5. AI must not be used to fabricate, falsify, manipulate, or misrepresent data, research results, documentation, information, or references that cannot be verified or do not accurately reflect the actual research conducted.
  6. Authors must review and verify all AI-generated outputs before incorporating them into an article, including factual accuracy, references, interpretations, language, and other information.
  7. Authors bear full responsibility for the accuracy, originality, validity, integrity, references, and ethical compliance of the entire article, including sections drafted or revised with AI assistance.
  8. Authors must maintain confidentiality and protect data. Personal data, confidential information, participant documentation, unpublished materials, or other protected information must not be entered into AI systems if doing so could violate privacy, confidentiality, copyright, intellectual property rights, or applicable ethical requirements.

2. Use of AI by the Editorial Team

  1. The Editorial Team is responsible for maintaining the confidentiality of manuscripts, data, identities, correspondence, review reports, and all information obtained during the editorial process.
  2. AI must not be used to replace scientific judgment, substantive assessment, or editorial decision-making concerning a manuscript.
  3. Decisions regarding manuscript acceptance, revision, or rejection must be made by humans based on the manuscript's academic quality, peer review results, conformity with the journal's Focus and Scope, manuscript integrity, and the editorial policies of Juru Rawat. Jurnal Update Keperawatan.
  4. If the Editorial Team uses AI for supporting functions that do not replace scientific judgment or editorial decision-making, such use must be responsible and transparently disclosed in accordance with its role and purpose.
  5. The use of AI by the Editorial Team does not relieve its members of responsibility for confidentiality, the integrity of the editorial process, the accuracy of their work, or the decisions made.
  6. The Editorial Team must not enter or upload all or part of an unpublished manuscript, data, tables, figures, supporting documents, correspondence, or other confidential information into AI applications if doing so could expose or transfer confidential information, personal data, or intellectual property to unauthorized parties.

3. Use of AI by Peer Reviewers

Peer Reviewers are not permitted to use Artificial Intelligence tools during the peer review process. Reviews must be conducted independently, based on the reviewers' competence, expertise, and scientific judgment.

The prohibition on AI use by Peer Reviewers includes:

  1. Using AI to analyze, assess, evaluate, interpret, or summarize a manuscript as part of the review process.
  2. Using AI to draft, revise, or generate review comments, recommendations, reports, or decisions.
  3. Entering or uploading all or part of a manuscript into an AI application.
  4. Entering manuscript text, data, tables, figures, documentation, appendices, or supporting materials into an AI application.
  5. Transferring part or all of the responsibility for peer review to an AI system.

This prohibition is intended to protect manuscript confidentiality, authors' intellectual property rights, review independence, and the integrity of the peer review process. All comments, recommendations, and assessments of a manuscript remain the responsibility of the Peer Reviewer.

4. Responsibility and Handling of Violations

The use of AI does not relieve authors or the Editorial Team of their respective responsibilities for originality, accuracy, confidentiality, integrity, and compliance with publication ethics. Peer Reviewers remain fully responsible for conducting reviews independently and without the use of AI.

Violations of this policy may include the undisclosed use of AI when disclosure is required, listing AI as an author or co-author, using AI to generate or manipulate data and information that cannot be substantiated, using AI to generate unverifiable references, breaching confidentiality, or using AI during the peer review process.

If a suspected violation is identified, the Editorial Team may request clarification, information, or supporting documents necessary to determine the nature and severity of the issue.

Suspected violations of this policy will be handled in accordance with the Publication Ethics and Handling of Academic Integrity Violations policy of Juru Rawat: Jurnal Update Keperawatan and other relevant publication ethics guidelines.
