AI Usage Policy
AI Usage Policy
The Journal Rekam Medis dan Informasi Kesehatan (JRMIK) recognizes that artificial intelligence (AI) tools can support academic writing and research. However, their use must preserve research integrity, patient confidentiality, data accuracy, and publication ethics. This policy applies to authors, reviewers, editors, and other parties involved in the journal's publication process.
Authors may use AI tools to support, but not replace, their own academic work. Permitted uses include:
- Correcting grammar, spelling, sentence structure, and academic language.
- Translating or improving the clarity of manuscripts.
- Supporting preliminary literature searches and developing research ideas.
- Assisting with programming, statistical analysis, data visualization, or data processing, provided that the methods and outputs are independently verified.
AI-generated suggestions must be critically evaluated. Authors remain responsible for the originality, validity, and scientific accuracy of their manuscripts.
- AI authorship: AI tools cannot be listed as authors or co-authors. Authorship requires human accountability and intellectual contribution.
- Fabrication and falsification: AI must not be used to invent research data, falsify results, create misleading scientific images, or manipulate clinical records and research evidence.
- Entirely AI-generated manuscripts: Submitting a manuscript generated entirely by AI without substantial original human intellectual contribution, critical evaluation, and verification is not acceptable.
- False references: Authors must not include AI-generated citations or references without verifying that the sources exist and support the claims made.
- Misrepresentation: Authors must not conceal material AI contributions or present AI-generated content as independently verified research findings.
Because JRMIK covers medical records and health information, authors must protect patient privacy and confidential institutional information when using AI tools.
- Identifiable patient information, medical record numbers, personal health information, and confidential clinical or institutional datasets must not be uploaded to public AI platforms without proper authorization and appropriate data protection safeguards.
- Research data must be de-identified where appropriate and handled in accordance with applicable ethical approvals, consent requirements, institutional policies, and data protection regulations.
- Authors must ensure that AI-assisted processing does not compromise data integrity, confidentiality, or the validity of research findings.
Authors must disclose the use of generative AI tools or other AI tools that materially contribute to manuscript preparation, translation, coding, analysis, or content development. The disclosure should include:
- The name of the AI tool and its version, where available.
- The purpose and specific tasks for which it was used.
- The relevant sections or research processes supported by the tool.
The declaration should be included in the Acknowledgments or a dedicated AI Use Declaration section, as appropriate.
Example declaration: During the preparation of this manuscript, the authors used [AI tool and version] to assist with [specific task]. The authors reviewed and verified the output and take full responsibility for the final content of the manuscript.
Basic spelling or grammar correction that does not generate or materially alter scholarly content may be exempt from disclosure, subject to the journal's editorial requirements.
Human authors retain full responsibility for the accuracy of data, methods, statistical analyses, interpretations, conclusions, references, and all other content submitted to JRMIK.
- Authors must independently verify AI-generated statements, citations, calculations, and analytical outputs.
- AI tools must not replace appropriate research methods, ethical review, or professional judgment.
- Any errors, misleading claims, or ethical violations remain the responsibility of the authors, regardless of AI assistance.
Reviewers: Reviewers must maintain manuscript confidentiality. They must not upload unpublished manuscripts, reviewer reports, confidential editorial correspondence, or identifiable research data to public AI platforms. AI must not replace their independent expert assessment.
Editors: Editors must protect confidential submissions and use AI tools only when appropriate safeguards are in place. AI may support limited administrative or editorial tasks, but it must not make final decisions on manuscript acceptance, rejection, or research misconduct. Editorial decisions remain the responsibility of human editors.
JRMIK may request clarification or additional disclosure when AI use is unclear. Undisclosed or inappropriate AI use, data fabrication, confidentiality breaches, or other violations of publication ethics may result in requests for revision, rejection, or further editorial action in accordance with the journal's publication ethics procedures.
This policy is intended to promote responsible AI use while protecting research integrity, patient confidentiality, and the credibility of scholarly publishing.
